Summary
The position is responsible for supervising the Brighton Clinic to ensure an efficient and smooth flow of all clinical activities. Allocating work and duties among team members, monitoring progress and performance in accordance with performance standards and procedures set by the company, conduct reporting as necessary to increase clinic utilization, handle complaint and problems, oversee all other duties to keep the clinic running smoothly (i.e., supply ordering, building and creating provider schedules, ensuring cleanliness of site, etc.). Oversee, supervise and train all staff. Travel to other sites as necessary. Complete other projects as assigned.
PATIENT CARE COORDINATOR DUTIES AND RESPONSIBILITIES
The Patient Care Supervisor is responsible for being capable of completing all duties of the Patient Care Coordinator staff. Ensuring that the Patient Care Coordinator staff is appropriately trained and equipped to complete the following duties, including other duties may be assigned.
- Greet patients and visitors.
- Check-in and Check-out clinical patients following established procedures.
- Record patient vital signs at the time of clinical visits.
- Prepare exam rooms for each patient examination in the clinic.
- Schedule patients for appointments (sleep studies, consultations, and the CPAP clinic) equally distributing volume between providers or sites.
- Secure appropriate insurance referral authorization, when required by the insurance carrier, for patients checking into the clinic.
- Follow physician recommendations for the scheduling of additional clinic visits, sleep studies and post sleep study clinic visits.
- Ensure that all SHC referrals are entered into order entry system the same day as they are received by fax, email, or phone.
- Prepare and submit billing information daily for the clinic.
- Complete sleep study reports and maintain sleep study activity databases.
- Work closely with referring providers to maintain a good relationship.
- Establish a good relationship with the patient or the referring physician when scheduling appointments.
- Complete appointment confirmation phone calls 24-72 hours prior to appointments to make sure the patient has the necessary information for the appointment.
- Complete chart preparation for both clinical and laboratory services appointments.
- Gather all necessary demographic and insurance information for new patients scheduled and verify information on all existing clinic patients returning for services.
- Answer all incoming calls to the office and distribute calls as necessary.
- Return all voice mail messages received within 2 hours of receipt.
- Ensure that all patient account and record information is accurate and up-to-date.
- Additional administrative projects may be assigned.
SUPERVISOR DUTIES AND RESPONSIBILITIES:
- Oversee all clinical schedule activities.
- Gather provider schedules.
- Make changes to schedules as necessary.
- Build scheduling templates for all clinic schedules.
- Address and resolve patient complaints according to SHC guidelines.
- Organize and maintain all office equipment, including medical and administrative supplies.
- Maintain clinic procedure guidelines.
- The qualified candidate must be flexible to cover all shifts when needed.
- Supervise PCC staff in the clinic.
- Complete necessary training for PCC staff.
- Maintain clinic activity reports.
- Ensure that all shifts are covered for the clinic.
- Complete PCC staff reviews with the Patient Care Manager.

- Education: Bachelors degree required, with a concentration in customer service and/or administrative experience.
- 3-5 five years experience in a Supervisory role, preferably with a background in a medical field.
- Ability to perform as a working Supervisor.
- Excellent communication skills (phone and writing).
- Experience in dealing with challenging customers.
- Strong attention to detail and the ability to complete a multi-step process required.
- Solid business judgment and maturity.
- Ability to work efficiently with a diverse team of employees, physicians and patients.
- Superior computer skills.
- Ability to develop internal procedures and train staff.
